A Practical IT Checklist for Small Businesses in Cherokee County
A plain-English IT checklist for small businesses: backups, security, updates, Wi-Fi, passwords and an emergency plan, so tech problems do not stop your day.
Most small businesses do not have a full-time IT person. Technology tends to get handled by whoever is most comfortable with it, in between their real job. That works until a computer dies on payroll day or an email account gets hacked. This checklist is designed for small offices, shops and service businesses around Canton, Woodstock and the rest of Cherokee County who want to be prepared without becoming IT experts.
1. Backups
If you only tackle one item on this list, make it this one.
- Back up every computer that holds business data, or keep files on a central server or shared storage that is backed up
- Follow the 3-2-1 rule: three copies, two types of storage, one off-site
- Keep at least one copy that is not always connected, to protect against ransomware
- Check regularly that backups are actually completing
- Test a restore at least a few times a year
Our data recovery and backup service can set up backups to both disk and cloud.
2. Security basics
- Reputable, centrally managed security software on every computer
- Automatic updates turned on for operating systems, browsers and business software
- Firewall enabled on every device and on the router
- Two-factor authentication on email, banking, payroll and any cloud software
- Staff trained to pause before opening unexpected attachments or clicking "urgent" links
- A plan for what to do if someone suspects a virus or ransomware: disconnect from the network and call for help
If a machine is already acting up, our virus and malware removal service typically takes 24 to 48 hours.
3. Passwords and accounts
- Every employee has their own login; no shared accounts where avoidable
- Strong, unique passwords, ideally kept in a business password manager
- Standard user accounts for daily work, with administrator access kept limited
- Remove access promptly when someone leaves the company
- Keep a secure record of key accounts: domain, email, internet provider, software vendors
4. Network and Wi-Fi
- Router and Wi-Fi equipment that is current and receiving firmware updates
- Default admin passwords changed
- A separate guest Wi-Fi network for customers and visitors
- Point-of-sale systems, cameras and smart devices kept off the main office network where possible
- Good coverage throughout the space, with wired connections for desktops and printers when practical
5. Hardware
- An inventory of computers, printers and network equipment, with rough age of each
- A plan to replace computers that are too old for current security updates
- Hardware upgrades, such as solid-state drives or more memory, for machines that are slow but otherwise healthy
- Surge protectors or battery backups for important equipment, especially servers and network gear
- Servers kept in a cool, ventilated space, not a closet with the door shut
6. Software and licenses
- Know what software you depend on and who has the login for it
- Keep licenses and renewal dates in one place
- Remove programs nobody uses
- Avoid pirated or "free" versions of business software, which are a common source of malware
7. An emergency plan
Write a one-page plan and keep a printed copy somewhere everyone can find it:
- Who to call for IT problems, and the number
- Where backups are and how to restore them
- How to reach your internet provider
- Which systems get restored first if everything goes down
- How you will keep serving customers in the meantime
How often to review
A simple rhythm keeps things from slipping:
- Weekly: confirm backups ran
- Monthly: check that updates are installing and security software is active
- Quarterly: test a restore, review user accounts, check hardware health
- Yearly: review the whole checklist and plan replacements
When to bring in help
Plenty of this can be handled in-house. It makes sense to bring in outside help when nobody has time to keep up with it, when something keeps breaking, or when you need servers, networks or security set up properly the first time. Our on-site and business IT service covers office repair, network and Wi-Fi setup, server maintenance and support, hardware upgrades and installs, and emergency tech support. Computer repairs are also available through our computer and laptop repair service, with express service when you cannot wait.
