Office Printer Problems: Fixes for Offline, Jams and Slow Printing
Printer showing offline, jobs stuck in the queue or prints crawling out? Here are the checks that fix most small-office printer problems, and when to call for help.
Few things slow a small office down like a printer that will not print. The good news is that most printer problems come down to a handful of causes, and many can be fixed in a few minutes. Here is how we troubleshoot them.
"Printer offline" when it is clearly on
This is the most common complaint we hear, and it is almost always a network problem, not a broken printer.
- Check the printer's own screen or status page for its network connection and IP address.
- Restart in the right order: turn off the printer, restart the router or switch if you suspect it, then turn the printer back on and wait until it shows it is connected.
- Make sure the computer is on the same network. A laptop on the guest Wi-Fi often cannot see an office printer.
- Look for an address change. If the router gave the printer a new IP address, computers set up for the old one will show it as offline. Giving the printer a fixed (reserved) address in the router prevents this from happening again.
- Remove and re-add the printer on the computer if it still shows offline.
Jobs stuck in the print queue
One stuck document can block everything behind it.
- Open the print queue and cancel the stuck job, then try again.
- If it will not cancel, restart the computer. On Windows, restarting the Print Spooler service does the same thing.
- Check that only one copy of the printer is installed. Duplicate entries such as "Printer (Copy 1)" often point to an old address.
Paper jams that keep coming back
- Use the paper the printer was designed for and fan the stack before loading it.
- Do not overfill the tray, and make sure the guides sit snugly against the paper.
- Remove jammed paper in the direction it travels, slowly, so it does not tear and leave scraps inside.
- Check for torn bits behind the rear or side access doors.
- Repeated jams in the same spot usually point to worn rollers, which is a sign of a printer at the end of its life or due for service.
Slow printing
- Large PDFs and photos take longer, especially on older printers with limited memory.
- Wi-Fi printers in a weak signal area print slowly or drop jobs. Moving the printer, or connecting it to the network with a cable, often fixes this.
- Print quality settings such as "best" or "photo" slow everything down. Use the standard setting for everyday documents.
Drivers and updates
Printer software causes more problems than people expect.
- Install drivers from the manufacturer's official site, not from a search result ad.
- Avoid installing every extra utility that comes with the driver. Many are not needed.
- Update the printer's firmware when the manufacturer recommends it.
Scan-to-email and scan-to-folder stopped working
These features often break when an email password changes or a shared folder moves. The printer stores its own copy of those settings, so it needs to be updated at the printer, not just on the computers.
